Appointment cancellation and attendance

At So To Speak Therapy for Kids, every appointment time is reserved especially for your child. We understand that family life can be unpredictable and that illness, emergencies, and unexpected events do occur. We will always do our best to be understanding and work with families where possible.

To help us provide fair access to appointments for all children and families, the following cancellation policy applies.

Providing Notice: 

If you need to cancel or reschedule an appointment, we ask that you provide as much notice as possible.

 

More than 48 hours' notice

No cancellation fee applies.

Less than 48 hours' notice

The full session fee may be charged, as this appointment time is unlikely to be filled at short notice.

Illness

We understand that children become unwell unexpectedly.

If your child is unwell, please notify the clinic as soon as possible and no later than 8:00am on the day of your appointment where reasonably practicable. We may be able to offer an alternative service option such as Telehealth where clinically appropriate.

Ongoing Appointment Times

Regular appointment times are highly sought after.

If multiple appointments are cancelled, missed, or changed at short notice within a short period of time, we may review whether an ongoing appointment time remains the best option for your family. In some circumstances, regular appointment times may be offered to another family on our waitlist.

As outlined in our Service Agreement, repeated late cancellations, missed appointments, or non-attendance may result in the loss of a recurring appointment time.

Outstanding Cancellation Fees

Any cancellation fees incurred are payable in accordance with the invoice issued and may need to be settled prior to future appointments being confirmed.

NDIS Participants

NDIS participants may be charged for late cancellations in accordance with the current NDIS Pricing Arrangements and Price Limits and the terms outlined within their Service Agreement.

Why do we charge a cancellation fee: 

When an appointment is cancelled at short notice, our clinicians have often already:

  • Prepared resources and therapy activities for the session

  • Reserved time specifically for your child

  • Declined other appointment requests for that time

Late cancellation fees help us continue providing a sustainable service while ensuring appointment availability remains fair for all families accessing support.
